Technologies Manager


YMCA of Okanagan is a charitable association dedicated to building strong kids, strong families and strong communities. Y programs provide experiences to over 30,000 individuals annually in the areas of health, fitness & recreation, childcare, day camping, employment and community health. With a current annual operating budget of $17 million, the association employs over 300 full and part time staff and has over 200 volunteers.

Reporting to the Chief Financial Officer, the Technologies Manager is responsible for the Association’s technology and related resources that support the needs of the organization. This person will lead toward an efficient, reliable and cost-effective technology environment.  Specifically, they will manage the helpdesk function through an external organization, manage and help execute technology projects, create and maintain policies, documentation and information related to the Association’s technology, create and maintain annual and long-term technology plans and lead the creation of the IT budget. The Technologies Manager is accountable for the quality, reliability, effectiveness and budget for the IT infrastructure, which includes a cloud-based member/activities registration system, childcare registration/billing system and fundraising CRM as well as, server-based accounting and payroll/timekeeping systems.

Nature and Scope:
- Plan, develop and manage all IT services, policies, procedures, programs, and support throughout the Association.
- Oversee internal IT support (server security, software updates, hardware maintenance, desktops, laptops, etc.) and the implementation, deployment and operation of IT systems and technology solutions for business needs.
- Oversee and ensure backup of the association’s data as well as website domain security and expiry while protecting the association against wasteful, inefficient, unsafe, and fraudulent practices.
- Manage the external IT provider, including helpdesk, to ensure top notch service delivery when resolving issues and ensure effective delivery of service according to defined response and resolution times.
- Manage and monitor the service process by identifying exceptions and working with the service provider to resolve them and ensuring accountability for service delivery with the external provider.
- Work to maintain the technology environment to increase reliability, minimize downtime and improve the user experience.
- Maintain an accurate inventory of all IT equipment and a lifecycle plan for it while researching, designing, and implementing the appropriate technologies to support and improve communications, access to information, and end-user productivity.
- Develop systems and processes to meet project timelines, budget requirements, quality objectives and service delivery goals.
- Act as the primary interface and escalation point for internal users.
- Deliver program education to end users.
- Conduct regular meetings with external support partners, as required to ensure quality delivery of services.
- Assist senior management with the direction and facilitation of IT strategic and tactical planning and set goals accordingly.
- Conduct capacity planning for network bandwidth, storage requirements, messaging, websites, and other applications.
- Stay informed on new or emerging trends and technologies that provide clear benefits to the organization, business partners, and/or customers.
- Liaise with vendors, YMCA Canada and service providers to ensure efficient and cost-effective acquisition of technology purchases; oversee warranties and service agreements.  All such purchasing to be done with delegated authority and in compliance with Association and Federation purchasing practices.
- Responsible for planning and overseeing the IT department budget including the development, planning, administration and control of budgets for programs, equipment and support services, within level of authority; monitor monthly expenditures for the area of responsibility, report on variances and make relevant purchases.

Qualifications:
- An acceptable combination of formal education and relevant experience.
- Minimum 5 - 6 years of direct work experience in an IT management capacity required.
- Significant knowledge of networking, operating systems, network security technologies and server architectures and extensive knowledge of Microsoft 365 suite.
- Ability to quantitatively and qualitatively analyze and design solutions to operational problems.
- Highly effective project management skills.
- Customer service oriented.
- Knowledge of applicable IT laws and regulations, including privacy and accessible legislation.
- Demonstrated strong written, verbal and presentation communication skills.
- Resourceful, organized, flexible and motivated.
- Valid BC Driver’s License and own vehicle (mileage allowance paid).
- Working knowledge of the YMCA is an asset.
- Successful candidates will be required to provide a current and satisfactory Criminal Reference Check/Vulnerable Sector Search issued no later than six (6) months preceding your start date. The - YMCA will provide applicable instructions and paperwork.
