Payroll Administrator


Westwood Fine Cabinetry is seeking an experienced payroll administrator to join our team. We currently have 150 employees across three locations – Kelowna, Vernon, and Salmon Arm. The main office and manufacturing facility are in Kelowna where this position will be situated. This role will report directly to the Manager of Finance.

Numbers, calculations and CRA’isms come easy to them and supporting their team is even easier … because they are a natural when it comes to lending a hand and being a voice for all thing’s payroll. KEY RESPONSIBILITIES:
• In one bullet point...you are responsible for payroll...everything to do with payroll

A little more insight:
• Responsible for full payroll lifecycle
• Work with all department managers, controller, and Manager of Finance to collect info and prepare payroll for each company
• Be the conduit for our amazing staff when they have questions regarding payroll that the rest of us have no idea about
• Manage and process the payroll through one consolidated system: Avanti
• Monitor, review, and follow up on timecard entries and troubleshoot any issues that arise for all employees
• Manage company policies to ensure compliance for vacation entitlement, bereavement, sick time, and other leave policies we have in place … all the rules .. all the time
• We have a GREAT group benefit plan - you would be the gate keeper / administer (sign people up, remove people, reconcile monthly billing, etc.) and answering any questions employees may have
• Gone are the days of manual punch cards, you will be the Time Clock Wizard, managing the time clock, including issuing new cards for new hires, dealing with timecard issues
• Assist controller and accounting supervisor in downloading GL entries for upload into our accounting system – Microsoft NAV
• Responsible for yearend process and CRA remittance requirements (T4 process, T4A's, T2200's, WSIB, EHT, etc.)
• Remit monthly contributions to RRSP provider
• Preparing various payroll reports as needed by management
• Assisting in special projects related to payroll as needed (system changes, new policy rollouts, efficiency efforts, etc.)
• Assist in HR activities as needed and work with other team members who look after various HR responsibilities in the organization
• Assist with other duties as required that overlap with the payroll function

SKILLS & EDUCATION REQUIREMENTS:
• Payroll Compliance Practitioner (PCP) or Certified Payroll Manager (CPM) designation, or working towards designation preferred
• Minimum of 5 years of payroll specific experience at a larger corporation/business (ideally 100+ employees)
• Implementation experience is considered an asset
• Have experience as a payroll administrator; or at a minimum, you have been responsible for the major payroll functions of an organization, being able to handle the requirements of the responsibilities noted above
• Experience with Avanti system is considered an asset…like a really big asset
• Experience with time punching systems and other payroll systems is an asset…like a huge asset
• Proficient in Microsoft Office applications (primarily Excel for reporting)

• Strong communication and interpersonal skills (verbal, written, and listening), great attention to detail, organized, adheres to confidentiality, self-motivated, self-sufficient and able to work independently (though you will have lots of support), handles stress like a champ, works well with all levels of employees from staff to managers to executives, and generally laid back and doesn't get worked up over the little things... basically just an all-around superstar!
• Willing to learn, adapt, and embrace change in an ever-evolving organization and industry
• Able to handle unique and challenging scenarios - there is never a dull moment in the manufacturing industry.
• And finally... experience with collaboration tools (ie. Microsoft Teams), especially being adept at digging up some pretty amazing and well-timed memes and gifs as needed to get through the day!
