Part Time Office Assistant


Swiss Solar Tech is looking for a highly organized and efficient professional with administrative experience and a basic understanding of solar installations.
Our company is seeking an Administrative Assistant to manage the office for 2-3 days per week. Multi-tasking, while maintaining schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.
Making sure necessary resources are available to facilitate project completion and acting as the liaison between the project team and the client. The successful candidate will act as the single point of contact with important clients, so we need someone who is confident, professional and reliable.
Daily Duties:
• Provides office support to Owner/CEO and the solar installation team
• Provide technical and logistical support for Owner/CEO and the solar installation team
• Provide excellent customer service to create solar sales for the company
• This position is vital for the smooth-running of Swiss Solar tech
• Maintain and update all digital and hard copy client contract files
• Assume responsibility for maintenance of office equipment, including computers, copy machines and fax machines
• Maintain office supplies by checking inventory and order items
• Respond to questions and requests for information
• Fielding phone calls, emails & assisting some walk in clients with solar inquiries.
• Must have experience with Microsoft office – Outlook, excel, word, & power point.
• Using special solar program to accurately predict KW production of a specific solar array for clients – this will be taught on the job
• Tracking all leads and performing appropriate follow up calls/emails.
• Word processing, creating spreadsheets and presentations, and filing
• Preparing quotes/proposals with the help of solar expert
• Preparing paperwork for net metering and building permit applications
• Invoicing clients
• Scheduling meetings & installations with clients & crew
• Run mail, supplies, & banking errands
• Able to assist in marketing as well when needed
• Help manage projects from start to finish & ensure that they are completed as per permit/contract requirements


Important Skills:

• Superior organization skills and dedication to completing projects in a timely manner
• Detail oriented and comfortable working in a fast-paced office environment, but also able to find work/research to do on slower days
• Exceptional communication skills: able to give expert advice and assistance to clients
• Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
• Ability to analyze and revise operating practices to improve efficiency
• Must work well alone and with a small team
• Able to think outside the box when needed & problem solve quickly to avoid unhappy clients
• Do research to stay current with solar products/technology
