Coordinator, Development


Canada has one of the highest rates of multiple sclerosis in the world, making MS Canada’s disease. The MS Society of Canada is the country’s leading MS advocate, funding leading research in MS and programs & services that help people live well with the disease.

Reporting to the Manager, Development, BC & Yukon Division, the Coordinator, Development is responsible for developing, executing, evaluating and growing revenue and engagement in assigned MS Society events in the Interior region. As an integral member of the BCY development team, this position is also responsible for the support of other fund development initiatives, including but not limited to MS Awareness Month, miscellaneous fundraising events and community fundraising events.

This position is a position of trust. The incumbent will be required to complete the screening process including completion of appropriate background checks in compliance with the National Screening Measures Policy.

There are 2 positions available, 1 contract and 1 full-time based out of Kelowna or Kamloops.

Key Responsibilities:

•Meets or exceeds revenue targets for the assigned events and other fundraising activities
•Implements strategies to increase participation/team recruitment and retention to maximize revenue
•Responsible for developing new and maintaining existing relationships between various supporters of the Society such as: team captains, special event fundraisers, members, volunteers, sponsors and community groups
•Coordinates all aspects of assigned MS Society events in partnership with volunteer committees
•Working with the Coordinator, Volunteer Engagement, recruits volunteer leadership for assigned events
•Coordinates event equipment procurement, permits, site insurance and all other necessary bookings and documentation
•Works with volunteer committee members to ensure the smooth execution of all event logistics including but not limited to site plans, routes, safety protocols, entertainment, food, signage, etc.
•Completes post event equipment and supplies inventory
•Provides support to and works directly with volunteers on event committees as well as day of event volunteers, ensuring they have the information and support that they need to succeed in their role
•Supports coordination and implementation of other MS Society events

Participant recruitment and stewardship

•Manages and develops strong relationships between the MS Society and event fundraisers, sponsors, volunteers and community groups.
•Maximizes new team and participant recruitment through a variety of recruitment initiatives
•Maximizes participant retention with relationship building activities throughout the year
•Communicates with participants and teams on a regular basis to encourage engagement and connection to the Society
•Supports the growth and development of corporate opportunities

Committee work

•Works with the Coordinator, Volunteer Engagement to recruit MS Bike Organizing Committee members
•Attends Organizing Committee meetings
•Supports the Committee Chairs in ensuring committee members understand their roles and responsibilities and are working to meet event deadlines
•Assumes any portfolio roles which are not filled by committee members

Sponsorship

•Works with Specialist Development, Corporate Partnerships & Events, and Manager, Leadership Giving and Corporate Relations to secure past sponsorship and cultivate new sponsorship opportunities within the established sponsorship framework for MS Bike
•Works with the Organizing Committees to generate leads and build relationships in the community
•Ensures benefits of sponsorship outlined in the agreements are delivered
•Works to help sponsors activate their engagement in the event

Media/Public relations:

•Works closely with the Director, Communications and Marketing:
-in the production of marketing, promotional, participant retention and pledge enhancement materials
-on direct promotion campaigns - print, PSA’s (local and site specific)
-on the strategy and production of web marketing materials
-identify community champions for each event
•Works with the Organizing Committees to coordinate external promotions

Event logistics:

•Works collaboratively with the Manager, Walk & Bike, to ensure appropriate planning of, but not limited to:
- Site plans, routes, equipment, signage, entertainment, food, event agendas
-Safety and emergency protocols
-Volunteer requirements

Post event logistics:

Including but not limited to:
•Develops post event stewardship and acknowledgement plans for sponsors, team captains, participants, suppliers, volunteers and event supporters
•Coordinates post event equipment/supplies inventory
•Organizes Event Committee wrap up meetings for event evaluation
•Creates final event reports

Administration:

•Manages the MS Bike event budgets in conjunction with the BCY Management Team
•Works with the Administration Department to ensure database and event accounting procedures are followed
•Attends department meetings

Miscellaneous, Third Party and I Challenge event support:

•Supports the coordination and implementation of I Challenge (third party fundraising events) in the regions
•Works with BC & Yukon staff lead to ensure Third Party and I Challenge events are coordinated within MS Society Community Fundraising Event Guidelines
•Supports participants as they work towards their fundraising goals

Supervisory Responsibility:

•Will provide support and direction to volunteers

Qualifications:

•University Degree or College Diploma, with 2 -3 years’ experience in fundraising, marketing, public relations in a not-for-profit environment or the equivalent education and experience
•Experience working with event volunteer committees, within a non-profit fundraising environment would be an asset
•A valid driver’s license and access to a reliable vehicle is required.
•Proven ability to coordinate, organize, initiate and complete events within budget and on a timely basis
•Proven ability to recruit, manage and work successfully with volunteers, event participants and committees
•Strong organizational ability and time management skills, able to prioritize multiple tasks effectively
•Strong attention to detail
•Able to solve problems and practice good decision-making
•Able to provide leadership and take initiative
•Excellent communication skills, both written and oral
•Able to work effectively in a fast paced, high pressure, professional environment, whilst meeting deadlines
•Proficient in MS Outlook, Excel, Word, Publisher, PowerPoint
•Comfortable working with computer databases
•Comfortable working with website content management systems
•Excellent customer service/relationship building skills; able to deal with calls/emails from dissatisfied donors or event participants
•Able to work independently and as a member of a team
•Is goal oriented and a self-starter
•Ability to be flexible and respond to a diverse work load
•Comfortable interacting with individuals with disabilities


Special Considerations:

•This position requires travel throughout the Interior
•Ability to travel is mandatory
•Occasional evening or weekend work will be required as necessary to ensure the success of the events in this portfolio
•Hours of work: as required to fulfill the mandate of this position.
•Physical demands of special events including packing, lifting carrying and loading
