Administrator - Part Time

We are looking for the next member of our dynamic team at Career City College, a Administrator, stationed at our main campus office in Kelowna. You would be working collaboratively with the Admissions department to ensure that student’s finances are in order throughout the enrollment cycle. The finance administrator’s duties will cover a broad range of tasks from receiving credit card payments and administering payment plans, to assisting with financial aid applications and confirming tuition disbursements.

The perfect candidate is an excellent communicator over the phone, via email and comfortable to provide assistance face to face or on a Zoom video call.

With rolling start dates throughout the year, there are always students to assist and tuition payments to receive. This role will initially be part time, Monday to Friday from 10am-2pm, and will grow with time and experience into a full time position.

Daily Tasks

Accounts Receivable

o Responsible for recording receipt of all incoming payments

o Creating and administering receipts for received payments

o Sending tuition payment reminders for outstanding payments

o Prepare invoices for all 3rd party funding agents

o Receive customer credit card payments in Moneris and process

Student Aid BC and Alberta

o Assisting students throughout Student Aid application process from making an application to receiving their funding

o Processing and confirming Student Aid applications and enrollments with the relevant provincial body

o Recording disbursements as students receive offers of funding

o Assisting with the appropriate Student Aid documentation if students need to make changes to their program, take a leave of absence or require an extension

Payment Plans and Invoices

o Making and administering payment plans and recording upcoming payments

Administration Tasks

o Assigning textbook codes for online courses

o Distributing physical textbooks to students

o Printing and distributing graduate packages

o Liaise between the Finance, Admissions and Instruction departments to keep communication flowing

Position Growth and Opportunity

This position will originate as a part time role at 20 hours per week, with the opportunity to grow into a full time position with the right candidate, in a short amount of time.

Future tasks could involve: maintaining inventory and ordering textbooks, assisting with accounts payable, payroll, T2202 forms and more

Qualifications and Preferred Skills

· Minimum of 1 year experience in Financial role, and/or a certificate or diploma in relevant field

· Proven excellent Microsoft Office skills in particular Microsoft Excel

· Excellent written and verbal communication skills

· Efficient time management, ability to take on many tasks at once and prioritize them by importance and relevance

· Excellent collaborator, strong disciplinarian

· Willingness to learn and adapt easily

· Experience in Education Finance, Moneris and CRM systems (preferable)

· Knowledge of Student Aid policies and procedures (preferable)

· Must be willing to join our work family and share a positive sense of humour

Part-time hours: 20 per week

Job Types: Part-time, Permanent

Salary: $17.00-$20.00 per hour
