Administrative Assistant - Financial Services (Kelowna)

We are looking for an Administrative Assistant who will take pride in delivering excellence in client service while demonstrating a professional demeanor and detailed administrative and marketing support.


Key Responsibilities

• Answer client inquiries and coordinate meetings in a professional manner
• Provide courteous and professional client service
• Maintain team calendars to ensure all appointments and team meetings are accurately scheduled
• Utilize and maintain client contact management system
• Greet and welcome clients in a friendly manner
• Assist in preparing materials for seminars, newsletters and information packages
• Maintain client database, update contact information for clients and prospects
• Review incoming mail, print reports and distribute accordingly
• Provide outstanding executive support for the Advisors’ schedules, arranging travel, managing and prioritizing phone messages and correspondence

Qualifications/ Skills

• Strong attention to detail and able to effectively prioritize tasks
• Excellent problem solving skills and ability to work independently
• Proficiency in Microsoft Suite, especially Word, Excel and PowerPoint, is required
• Ability to perform under pressure and meet deadlines
• Flexibility and willingness to work additional hours, if needed
• Highly developed interpersonal, written and verbal communication skills
• Strong time management skills
• Ability to multi-task with strong attention to detail and exceptional organizational skills
• Professional with a positive "can-do" attitude, with an outgoing pleasant personality who suits a business environment
• Able to present a polished appearance in a formal business environment
• Self-starter attributes, motivated and hardworking
• Able to work cooperatively with all levels of the team
• Adaptability to work in a constantly changing and highly demanding environment while maintaining confidentiality


This position is Part Time (20 - 30 hrs/wk) with a competitive compensation and benefits package.
